THE CANVAS CAKE STUDIO POLICIES
These policies apply to purchases, reservations, orders, and experiences provided by The Canvas Cake Studio (TCCS).
Certain services may have additional terms stated in a proposal, invoice, order form, or booking confirmation. When additional terms are provided, those terms become part of the customer’s agreement with TCCS.
By submitting payment, the customer confirms that they have reviewed and accepted the policies that apply to their purchase or reservation.

GENERAL POLICIES

Payments and Reservations

Payment requirements vary by service. A reservation, order, or event is not confirmed until the required deposit or payment has been received and written confirmation has been issued by TCCS.

Prices are subject to applicable taxes, service charges, delivery fees, and payment-processing fees.

Credit Card Surcharge

A 2% surcharge may be added to credit card payments where permitted. This surcharge does not apply to debit card payments.

Allergies and Dietary Requests

TCCS uses wheat, milk, eggs, soy, and nuts in its kitchen. Gluten-free, egg-free, or other dietary alternatives may be available for certain products with advance notice.

TCCS is not an allergen-free facility and cannot guarantee against cross-contact. Customers are responsible for notifying TCCS of allergies before ordering and for sharing relevant allergy information with their guests.

Cancellations by TCCS

If TCCS must cancel an order, class, event, or reservation, the customer may receive a refund of the amount paid or transfer the full amount to another available date or service.

TCCS is not responsible for indirect expenses incurred by the customer, including travel, lodging, decorations, or third-party purchases.

CUSTOM CAKES AND DESSERT ORDERS

Retainer and Confirmation

A nonrefundable retainer is required to reserve production time for a custom cake or dessert order. Unless otherwise stated on the invoice, the retainer is 30% of the total.

An inquiry, consultation, or unpaid invoice does not reserve a date.

Final Payment

The remaining balance must be paid by the deadline stated on the invoice. TCCS is not required to begin or complete an order that has not been paid according to the agreed schedule.

Design and Order Changes

Changes to servings, flavors, colors, design, delivery, or pickup must be requested in writing.

Requested changes are subject to approval, availability, and additional charges. TCCS may be unable to accept changes after ingredients, decorations, toppers, or custom materials have been purchased or prepared.

Artistic Interpretation

Inspiration photographs are used as references. TCCS will not make an exact copy of another artist’s work.

Colors, textures, proportions, and decorative details may vary because every cake is created by hand. TCCS reserves the right to make reasonable artistic or structural adjustments needed for the stability and appearance of the finished cake.

Pickup and Transportation

Customers should inspect their order before leaving the studio.

Once an order has been accepted and removed from the premises, the customer assumes responsibility for transportation, temperature, storage, setup, and handling.

Cakes should travel on a flat, secure surface in an air-conditioned vehicle. TCCS is not responsible for damage caused by improper transportation, heat, handling, storage, or setup after pickup.

Delivery

Delivery and setup are available only when confirmed in writing and included on the invoice.

The customer is responsible for providing accurate delivery information, venue access, setup times, parking instructions, and a suitable cake table or display area.

Once delivery and setup are complete, responsibility for the order transfers to the customer or venue representative.

Cancellations

The 30% retainer is nonrefundable because it reserves production time for the order.

If an order is canceled at least 14 days before the scheduled pickup or delivery date, payments made beyond the retainer may be refunded. Costs already incurred for custom toppers, edible images, special-order supplies, personalized items, or completed work will be deducted from the refund.

Orders canceled fewer than 14 days before the scheduled pickup or delivery date are not eligible for a refund or store credit.

If The Canvas Cake Studio must cancel an order, the customer will receive a full refund of all payments made.

Concerns and Refund Requests

Concerns must be reported promptly, preferably on the day the order is received.

The remaining product must be returned to TCCS for evaluation before a refund or replacement can be considered. Photographs may also be requested.

Flavor, sweetness, color, and texture preferences are subjective and do not automatically qualify for a refund. TCCS may offer a replacement, store credit, partial refund, or refund when an order is determined to be incorrect or defective.

READY-TO-CELEBRATE CAKES AND BAKERY ITEMS

Bakery products, refrigerated desserts, ready-to-celebrate cakes, and other perishable foods are final sale.
Customers should inspect pickup orders before leaving.
Incorrect, damaged, or defective items should be reported on the same day with photographs and the remaining product available for evaluation.
Depending on the circumstances, TCCS may provide a replacement, store credit, partial refund, or refund.
Products left unclaimed after the agreed pickup date may be discarded and are not eligible for a refund.

PARTY POLICIES

Reservations and Deposit

A $100 nonrefundable deposit is required to reserve a party date and time. The deposit is applied toward the party balance.

Submitting an inquiry does not reserve a date.

Participants and Capacity

Party packages include the number of participants listed in the selected package. The package price does not decrease when fewer guests attend.

Additional participants may be added up to the package or studio capacity. The additional-participant price depends on the selected package.

Final Count and Payment

The final participant count, project selection, dietary requests, and add-ons must be confirmed at least 7 days before the party.

The remaining balance is due on the day of the event.

Reducing the number of participants after the 7-day deadline will not reduce the balance due. Additional participants or changes requested after the deadline are subject to space, staffing, and supply availability. Any approved additions will be added to the final balance.

Service Charge

An 18% service charge is added to party bookings.

It supports preparation, setup, instruction, service, and cleanup. It is not a gratuity.

Cancellations and Rescheduling

The $100 deposit is nonrefundable.

Cancellations made at least 14 days before the party are eligible for a refund of payments beyond the deposit, except amounts used for personalized items or special-order supplies.

A party may be rescheduled one time with at least 14 days’ written notice. The new date must take place within 90 days and is subject to availability.

Requests received fewer than 14 days before the party are not eligible for a refund or credit.

Arrival and Duration

Hosts may arrive up to 15 minutes before the scheduled start time.

Parties begin and end at the reserved times. Late arrival does not extend the event.

Food and Decorations

Outside food and nonalcoholic beverages may be brought ready to serve.

Outside cakes, cupcakes, and other desserts are not permitted.

Simple tabletop decorations are welcome. Confetti, glitter, silly string, open flames, nails, staples, and materials that may damage the studio are prohibited.

CLASSES AND WORKSHOPS

Registration

Full payment is required to reserve a place in a class or workshop.

Registration is subject to the age requirements listed for that event.

Customer Cancellations

Cancellations received at least 7 days before the class may be transferred to another available class or issued as studio credit.

Cancellations received fewer than 7 days before the class and failure to attend are not eligible for a refund or credit.

Registrations may be transferred to another person with advance notice.

Class Changes

TCCS may reschedule or cancel a class because of low enrollment, instructor illness, severe weather, or circumstances beyond its control.

Customers may transfer to the new date, select another class, receive studio credit, or request a refund.

Adult Classes

Alcohol is permitted only during approved adult events and must comply with applicable laws.

Guests must be at least 21 years old to consume alcohol.

TCCS reserves the right to refuse service or participation when safety is a concern.

SUMMER CAMPS

A deposit is required to reserve a camp registration. The remaining balance must be paid by the deadline stated in the registration confirmation.
Camp cancellations are handled as follows:
● 30 or more days before camp: Refund of payments made, less any stated nonrefundable registration fee.
● 14 to 29 days before camp: 50% refund.
● 13 days or fewer before camp: No refund.
A registration may be transferred to another available camp when requested at least 14 days before the original camp begins.
TCCS must be notified of allergies, medical needs, emergency contacts, and authorized pickup persons before camp begins.
Parents and guardians are responsible for timely drop-off and pickup. Late-pickup fees may apply.

CREATE & TREAT

Reservations, Walk-Ins, and Payment

Customers may reserve a Create & Treat time in advance without making a payment. Payment is collected at the studio on the day of the experience.

Reservations are recommended but not required. Walk-ins are welcome when seating, projects, and staff are available.

A reservation holds space but does not guarantee that every project, flavor, or color will be available. Project selections are based on the studio’s current inventory.

Reservation Changes and Cancellations

If you are unable to attend, please cancel or reschedule your reservation as soon as possible so the space can be offered to another guest.

Guests who repeatedly reserve and do not attend without notice may be required to prepay for future reservations.

Projects and Materials

Each project includes the items and decorating materials listed in its description.

Additional icing, decorations, upgrades, or to-go packaging may require an additional charge.

Participants are responsible for following staff instructions and using decorating tools appropriately.

Finished projects must be taken home at the end of the experience. TCCS is not responsible for products left behind or damaged after leaving the studio.

WORKPLACE AND PRIVATE EVENTS

A deposit is required to reserve the event date.
The amount, final payment deadline, participant minimum, service charge,
and cancellation terms will be stated in the event proposal or invoice.
Final attendance, project selection, dietary needs, and add-ons must be confirmed by the deadline in the agreement.
When no separate terms are provided, the Party Policies on this page will apply.
The customer is responsible for ensuring that participants follow studio and safety instructions.

MERCHANDISE AND DIY KITS

Unused, unopened, nonperishable merchandise may be returned within 14 days with proof of purchase for store credit.
The following are final sale:
● Food and edible products
● Opened decorating tools or kits
● Customized or personalized products
● Seasonal clearance merchandise
● Gift cards
● Items marked final sale
Defective merchandise should be reported promptly.
TCCS may provide a replacement, store credit, or refund after inspecting the item.
DIY kits must be stored and used according to the provided instructions.
TCCS is not responsible for results affected by improper storage, handling, or use.

GIFT CARDS

TCCS gift cards do not expire and are not subject to inactivity fees.
Gift cards are not redeemable for cash except where required by law. They may not be used to purchase another gift card.
Lost, stolen, or damaged gift cards can be replaced only when the customer provides sufficient purchase and balance information.
Promotional certificates, donated certificates, and prizes may have separate restrictions or redemption deadlines stated when issued.

PHOTOGRAPHY

TCCS may request permission to photograph classes, parties, camps, and other experiences for promotional purposes.
Customers may decline photography for themselves or their children by notifying TCCS before the experience begins.
Declining photography will not affect participation.
Customers may take personal photographs as long as they do not disrupt instruction, interfere with other guests, or photograph another child without permission.

CONDUCT AND SAFETY

TCCS may refuse or end participation when a guest’s conduct is unsafe, disruptive, threatening,
discriminatory, or damaging to the studio, staff, or other guests.
Customers are responsible for damage caused by themselves, their children,
or their guests beyond normal use of the studio and its materials.
TCCS is not responsible for lost, stolen, or damaged personal belongings.

WEATHER AND UNEXPECTED CLOSURES

If TCCS closes because of severe weather, unsafe conditions, utility failure, or another emergency,
affected reservations may be transferred, credited, or refunded.
If TCCS remains open and the customer chooses not to attend, the normal cancellation policy for that service applies.

POLICY UPDATES

TCCS may update these policies as operations and services change.
The terms provided at the time of a confirmed order or reservation will apply to that transaction.
For questions about these policies, please contact The Canvas Cake Studio before submitting payment.
